Privacy Notice for FacilityApps users, contact persons and ‘employees in FacilityApps’

Who are we?

Personal data being processed 

FacilityApps B.V. processes the following information when you use our platform and/or you provided this information to us:

  • Users & Contactpersons in FacilityApps:
    • First and last name 
    • Address details 
    • Phone number
    • Email address
    • IP-address
    • Location details
    • Details about your activities on our platform
    • List of contact details of colleagues, clients in the FacilityApps-app
    • Internet browser and device type
    • Mobile device and OS version
  • ‘Employees in FacilityApps’:
    • Mandatory: Full name of the employee
    • Mandatory: Personnel number, explicitly prohibiting using a social security number. 
    • Optional: Email address
    • Optional: Address details of the employee
    • Optional: Phone number

The purposes for which personal data is processed

FacilityApps B.V. processes those personal details for the following purposes:

  • To be able to call or email you in case our service delivery requires this.
  • To inform you about changes in our product and services.
  • FacilityApps B.V. also processes personal data when we are required to provide this data when there is a legal requirement, for example data that we need to provide to the Tax Authorities.

Automated decision-making

FacilityApps B.V. does not take any decisions based on computer-based automated processes that can have significant impact on natural persons. 

Special or sensitive personal data 

FacilityApps B.V. possibly processes the following special and/or sensitive personal data:

  • Location details 
    • This info is processed optionally, based on requirements in the contract that FacilityApps B.V. needs to deliver. A few potential scenarios:
      • In order to come to an accurate time registration based on geofencing.
      • In order to prevent fraud for our clients, in order to be able to show service delivery to their clients. 
      • In order to be able to track employees in case of emergencies, when there is a legal requirement to track the location of employees. 
    • The info that is processed:
      • Date and time
      • GPS-coordinates
      • User ID
    • This info is only processed when the following requirements have been met:
      • The functionality is switched on by the Administrator of the FacilityApps domain. 
      • The user logs into the app and accepts the settings as provided by the Administrator. This happens in the start-up screen of the app.
      • The user has the possibility to switch this functionality on and off by either closing the app, logging off or simply switching off the functionality in the app. 
    • This tracking info is only available to the Administrator of the FacilityApps domain.
    • This tracking info is stored for a period of 7 years. 

Retention periods

FacilityApps B.V. retains your personal data no longer than strictly required in order to deliver our services. FacilityApps B.V. applies the following retention periods: 

Sharing personal data with third parties

FacilityApps B.V. does not sell any personal data to third parties and only processes this data when required for the delivery of the contract or when there is a legal requirement. FacilityApps B.V. will sign a Processing Agreement with the organization that is our client and the party responsible for the processing. 

Cookies

FacilityApps B.V. only uses technical and functional cookies that do not infringe on your privacy. Our cookies are required for making the portal work properly. 

See, change or remove your personal data 

You have the right to view, correct or delete your personal data. You also have the right to withdraw your consent to the data processing or to object to the processing of your personal data by FacilityApps B.V. and you have the right to data portability. This means that you can submit a request to us to send the personal information we have in our computer files to you or another organization mentioned by you.

You can send a request for access, correction, deletion, data transfer of your personal data or request for withdrawal of your consent or objection to the processing of your personal data to support@FacilityApps.com

To ensure that the request has been made by you, we ask you to send a copy of your ID with the request. Make your passport photo, MRZ (machine-readable zone, the strip with numbers at the bottom of the passport), passport number and social security number black in this copy. This is to protect your privacy. We respond as quickly as possible, but within four weeks, at your request.

How do we protect personal data
